From brief to build in four steps

Most agencies leave you guessing between the enquiry and the quote. Here is exactly how a B&W enquiry moves, so you know what to expect and by when.

You send the brief

Use the form, phone us or send a WhatsApp. Date, guest numbers, city and the outcome the event has to achieve are enough to start — we will ask for the rest.

We reply within one business day

A named production manager picks up your enquiry and comes back either with a concept-and-costing timeline or with the handful of questions we need answered to quote accurately.

Concept and line-item cost

You get a visual concept, a technical specification and a transparent line-item budget in one document. No obligation, no consultation fee, no hidden management percentage buried in the total.

Confirm and we build

A 50% deposit confirms the date. From there manufacture, décor, technical kit, permits, staffing and transport all run in-house, with one production manager accountable from load-in to strike.

B&W Productions operates from a single base in Randvaal, Gauteng, with a 2,000 m² warehouse and a fleet of 10+ trucks. That is what makes national delivery a scheduling exercise rather than a subcontracting exercise — the crew that builds your event in Cape Town is the same crew that built it in Johannesburg last month.

Within one business day. The first reply comes from a person, not an autoresponder, and it will either be a concept-and-costing timeline or a short list of questions we need answered before we can quote properly.

No. The initial consultation and the concept-and-costing document are free and carry no obligation. You only pay once you accept a quote and confirm the booking.

Event date (or a window), guest numbers, city or venue if it is already booked, the outcome the event has to achieve, and a budget envelope. Budget is the most useful line on the brief — it lets us design something buildable instead of quoting something you were never going to approve.

For large events, weddings and year-end functions, six to nine months ahead is ideal, especially for October to December, which is our peak season. Smaller corporate events and activations can often be turned around in four to eight weeks. If your date is tighter than that, call rather than email.

Yes. Our head office is in Randvaal, Gauteng, and we produce nationally — Johannesburg, Pretoria, Cape Town, Durban, Polokwane and everywhere in between. Our own fleet handles the transport, so a Cape Town or Durban build is a logistics exercise rather than an obstacle.

Our full-service model works best from about 40 guests upward. Below that we are usually a better fit as a supplier of décor, staging, sound or lighting hire rather than as the full production wrap.

Absolutely, and it is common. We handle the venue liaison, technical assessment and load-in planning from there. If you have not booked yet, our venue directory covers 400+ South African venues with capacity and production notes, and we negotiate rates on your behalf at no extra cost.

Standard terms are a 50% deposit to confirm the booking, 40% due six weeks before the event and the 10% balance within seven days after. Cancellation refunds scale with the notice period, and everything is set out in writing before you commit.

One named B&W production manager owns your event from brief to strike. Bernie Burness handles general enquiries, Jocelyn handles bookings and Sipho Ndlovu is our operations director — all three are reachable directly on the numbers listed on this page.

Yes. We are a B-BBEE Exempt Micro Enterprise and can supply the certificate, company registration, tax clearance and public-liability documentation with any quote for procurement or vendor-onboarding purposes.
