Monte Bello Estate offers five spaces for conferences, corporate functions, weddings and celebrations in the Bloemfontein area. Its venue-approved 2027 Conference Fact Sheet lists Vecchia for 650 theatre-style or 250 classroom delegates, Vista for 300 theatre-style or 160 classroom, the Lapa for 250 theatre-style or 120 classroom, Piccola for 200 theatre-style or 150 classroom, and an executive boardroom for 10–25 delegates. Gardens, patios and outside areas support breaks and networking. Venue hire and delegate packages are listed separately, excluding 15% VAT.

Five conference spaces — individual capacities, not a combined total

Vecchia: 650 theatre / 250 classroom, 25 m × 39 m. Vista: 300 theatre / 160 classroom, 21.6 m × 14.9 m. Lapa: 250 theatre / 120 classroom, 21.6 m × 14.9 m. Piccola: 200 theatre / 150 classroom / 70 U-shape, 9.3 m × 22.8 m. Executive Boardroom: 10–25 delegates, all styles as listed in the fact sheet; confirm the working layout. The five capacities must not be added together as one-room capacity.

Venue hire — inclusions

Basic setup of conference tables, chairs and linen; listed furniture and basic glassware; air-conditioning or air cooling; lawns, steps, foyers and outside areas. A podium is available on request. A coffee, tea and juice station is available throughout the day. A generator is on standby, with diesel usage included for conferences under 200 delegates; confirm diesel charges for 200 or more delegates.

Venue hire — exclusions and staffing

Excluded: peppermints, notebooks, pens, bottled water, flipcharts and paper, whiteboards and markers, AV equipment, stages, venue dividers or breakaway partitioning, décor and floral design. Venue and floor managers, cleaners, waiters and kitchen personnel are listed separately under STAFF beneath the exclusions section; confirm staffing inclusions and charges explicitly in the quotation.

2027 conference package options

Package 1: R530 half-day / R635 full-day per delegate, excluding VAT; arrival biscuits, a morning break with two savoury and one sweet snack, and buffet lunch with soft drinks. The full-day option adds an afternoon snack break. Package 2: R430 half-day / R535 full-day per delegate, excluding VAT; refreshment stations, a morning break with one savoury and one sweet snack, and buffet lunch with soft drinks. The full-day option adds an afternoon snack break. Package 3: R440 per delegate, excluding VAT; arrival muffins, refreshment stations and buffet lunch with soft drinks, but no mid-morning or afternoon snacks. Alternative light or snack lunches may be discussed with the venue.

Booking, payment and special dietaries

A provisional booking holds the date for seven days. The fact sheet requires a R15,000 non-refundable deposit and the specified documentation within that period to secure the booking. The balance and final guest numbers, menu, dietary requirements, programme and layout are due seven days before the event. Special dietaries have a surcharge of 100% on the original prices quoted. Late changes may attract additional charges. Confirm the exact scope and totals in the signed quotation.

Cancellation terms in the fact sheet

Cancellations must be in writing. The booking deposit is non-refundable. More than six months before the event, monies paid excluding the deposit are refundable; less than six months but more than seven days before the event, 50% of monies paid excluding the deposit are refundable; less than seven days before the event, no monies are refundable. The wording does not specify the exact six-month and seven-day boundaries; obtain the full agreement and clarify those cases before signing.

Andrew Vermaak, Sales & Marketing Manager, has confirmed that Monte Bello’s 2027 Conference Fact Sheet is the correct source and that Monte Bello details in the trade pack must be disregarded. Accommodation rates, room counts, overnight capacity and banquet capacities are therefore not quoted here; request these separately from the venue. The other Cork Tree properties retain their own supplied information.
