It adds the standard 12.5% management and disbursement fee (minimum R625) and optionally includes 15% VAT. Understanding Event Production Fees in South Africa
Beyond the line items themselves, a professional event production company charges a management fee that covers the coordination, logistics planning, supplier management and on-site supervision needed to deliver a seamless event. At B&W Productions, this is set at 12.5% of the total with a minimum floor of R625 per event.
Labour costs are the most variable component. Standard weekday rates (Monday to Saturday) apply to setup, breakdown and operational staff. If your event falls on a Sunday, rates increase by 50%. Public holidays carry a 2x multiplier. These surcharges are industry standard in South Africa and reflect the legal requirements for overtime and holiday pay.
A last-minute surcharge of 20% applies to events booked less than 48 hours in advance. This covers the premium on rush procurement, emergency staffing and expedited logistics. Planning ahead is always more cost-effective.
Tips for Keeping Your Event Budget on Track
- Book early. Rates are lower, availability is better, and you avoid the 20% last-minute surcharge.
- Bundle where possible. Bar packages and door packages are more cost-effective than hiring individual items.
- Right-size your logistics. A 4t-6t truck at R3,500/day is significantly cheaper than a 10t-14t at R5,500/day. Only upsize if your equipment list genuinely demands it.
- Use internal stock. B&W Productions' internal furniture stock (cafe tables, chairs, trestles) is more affordable than externally sourced premium furniture.
- Plan for midweek events. If your event can happen Monday to Saturday, you save the 50-100% labour premium that applies on Sundays and public holidays.

Are the rates inclusive of VAT?
All line-item rates are shown excluding VAT. You can toggle "Include VAT (15%)" at the top of the calculator to see the total with VAT added. South African VAT is currently 15%.
What does the management and disbursement fee cover?
The 12.5% management and disbursement fee (minimum R625) covers project management, coordination, supplier liaison, on-site supervision and administrative costs associated with delivering your event.
Do Sunday and public holiday rates apply to all items?
The x1.5 Sunday and x2 public holiday multiplier applies specifically to labour and setup/breakdown staff. Equipment hire and other costs remain at standard rates regardless of the day.
